Pay per appointment

Pay Per Appointment for HVAC: You Pay When the Homeowner Shows

Pay per appointment flips who carries the risk. Local Leap Media buys the Facebook and Instagram ads with our own money, a setter on our team phones each person who responds, and only a confirmed homeowner gets a slot on your calendar. Your invoice counts one thing: homeowners who were home when your comfort advisor arrived. There is no retainer, no shared lead and no long-term contract.

  • The ad bill is ours
  • A setter phones each homeowner who responds
  • Billed only when they are home
The model

What changes when you pay per appointment

Every HVAC marketing deal has a billing trigger: the moment money leaves your account. The colored dot marks it.

  1. RetainerMonth startsLead arrivesBookedAt the doorYou pay on the 1st, before any work.
  2. Lead platformMonth startsLead arrivesBookedAt the doorYou pay per lead, then do the calling.
  3. Pay per appointmentMonth startsLead arrivesBookedAt the doorYou pay only when the homeowner is home.

Pay per appointment moves the trigger to the end of the line, to the visit itself. Everything before the visit, the ad cost, the phone work, the qualifying and the reminders, becomes our cost to carry. That is not a lead list, an SEO plan or a website. It is an estimate on your calendar with a homeowner who wants it. For the longer argument, read why a lead is not an appointment.

How it works

How does pay per appointment work for an HVAC company?

Six steps sit between an ad and an invoice. Five of them are on our side of the ledger.

  1. AdsAds run on our account, in your company name. Our cost
  2. CallA real person phones fast, and tries again. Our cost
  3. ScreenHomeowner, in your area, wants a new system. Our cost
  4. BookThe visit goes into a slot you keep open. Our cost
  5. RemindTwo reminders before the visit. Our cost
  6. ShownThe homeowner is home for your advisor. You pay here

Closing the job is your team's work. Ours is to get a screened homeowner in the chair across from them. For the math on what a closed job costs under each model, read what a closed HVAC job really costs.

The week runs Friday to Thursday. On Friday morning you get an email with every visit that ran and the invoice. If a visit should not be on it, you flag it within 24 hours and it comes off before the card is charged. A no-show, a cancel or a homeowner outside your area are the usual reasons. For how we treat the empty driveway, read our no-show policy.

The team

The people behind each booked visit

Sean Greene started Local Leap Media in 2024 and leads strategy and creative. Once you sign, Griffin, our Director of Operations, is the person you deal with. Setters make the calls and book the visits, and media buyers manage the campaigns day to day. Meet them on the About page, and read contractors in their own words on our client results page.

The fee

One flat fee per shown appointment

You pay the same amount for every billable visit, and nothing else. We do not charge per lead or add a margin on top of the ads. The amount is set for your market on a call, because a dense metro with a high average ticket and a small town with a two-person sales team are not the same deal.

FAQ

Pay per appointment questions

How is pay per appointment different from buying HVAC leads?

A lead is a name and a phone number, and your office still has to reach it, sort it and book it. Under pay per appointment, that work happens before you are billed. The unit you pay for is a homeowner sitting down with your comfort advisor, so a lead that never answers costs you nothing.

Who pays for the Facebook and Instagram ads?

Local Leap Media does. The ad bill sits on our account, not yours, and we make the creative. When a campaign has a slow week, the loss lands on us, which is why we keep a close eye on them.

What counts as a shown appointment?

A shown appointment is a homeowner in your service area who asked for an estimate on a new system or a replacement, and who is there when your comfort advisor arrives. We put that definition in writing before the first ad runs, so both sides read the invoice the same way.

What if the homeowner cancels, moves the visit or is not home?

None of those is billed. A cancel or an empty house is taken off the week's list. A visit that moves to a new day is billed once, when it runs. If one slips through, you flag it in the Dispute Center within 24 hours of the weekly email and we take it off before the card is charged.

How is the fee set for my market?

The fee is one flat amount for each shown appointment, with no charge per lead and no markup on the ads. We set it with you on a call, because your territory, your average ticket and the number of estimates your team can run all change the right number.

Will you book service or tune-up calls?

No. Our setters turn away repair and maintenance requests before they reach your calendar. The visits we book are for new systems and replacements, where your team has a sale to make.

Do other HVAC companies get the same homeowners?

No. Each homeowner comes from a campaign built for your company, in your territory, and is booked only with you. For how that plays out against a shared-lead platform, read an Angi lead versus your own Facebook ad. We also do not run a second account that competes with you in the same market.

How long do I have to stay?

You can leave on two business days' notice. We do not lock anyone into a term.
